Shared Knowledge Base videos
You can upload a video to Knowledge, wait for YouEx.ai to transcribe it, then publish a public share page. Viewers watch the video, open the transcript, and ask questions in a side chat. Answers come only from that video's transcript — not from the rest of your knowledge base.

The public page uses your workspace branding (logo and colors when custom branding is enabled) and includes:
- a video player with standard playback controls
- a collapsible Transcript
- Ask about this video chat, grounded only in the transcript
The share URL looks like /v/{workspace-short-id}/{slug}. You choose the slug when you publish.
How it fits with agents and offers
A published video can be:
- shared as a direct link (email, site, campaign)
- attached to a Web Agent offer, so chat can send the share URL after the visitor earns the offer
If the knowledge file is Gated, Web Agents still require the visitor to unlock an offer before sharing the link. Publishing the page does not by itself hide the URL from anyone who already has it — treat the link as public once it is live.
Upload a video
- Open
Knowledge. - Choose Upload video (distinct from uploading a PDF or other document).
- Select an MP4 or WebM file.
- Pick at least one Knowledge Base so the video is stored with the rest of that content.
- Choose the transcription language that matches the spoken audio.
- Upload. The browser sends the file directly to storage; wait until the progress completes.
You can replace a video later with a new version. Replacement re-runs transcription and embeddings. The public link stays unpublished until processing finishes again, then you can republish.
Wait for transcript and embeddings
Each video row shows transcription and embedding status.

| Transcription pending / processing | Amazon Transcribe is still working. Publishing is not available yet. |
| Transcript ready | Spoken audio is converted to text. |
| Transcription failed | Try a new version, confirm the language, or contact support if it keeps failing. |
| Embeddings completed | The transcript is searchable for the on-page Q&A chat. |
You can only Publish after both the transcript and embeddings are complete.
Publish the share page
- Open the video's share dialog (Publish video or Edit video link).
- Set a custom link slug (lowercase letters, numbers, and hyphens).
- Optionally Save slug first to reserve the URL without going live.
- Click Publish when you are ready.
To take the page down, unpublish it. The slug stays reserved for that video so you can republish later without losing the URL.
Copy the live link from Knowledge when you need to share it.
Analytics
Open analytics on a video to see engagement over a date range, including:
- views and unique visitors
- identified leads (when viewing can be tied to a CRM lead)
- play rate, completion rate, and average watched
- transcript opens
- chat starts, questions, and chat rate
- playback errors
Use this to see whether people watch through, open the transcript, or ask questions.
Best practices
- Pick the transcription language that matches the recording. A mismatch produces a weak transcript and weak Q&A.
- Keep one topic per video so questions stay easy to answer from the transcript.
- Wait for Transcript ready and completed embeddings before you send the link.
- If you use the video as an offer, test the Web Agent path: earn the offer, then confirm the shared URL opens the right page.
- Unpublish before you replace a version if you do not want viewers on the old file while the new one is processing.
